Terms and Conditions
Welcome to Trail Trek Africa. By booking any of our tours, you acknowledge that you have read, understood, and accepted the following terms and conditions:
Pricing
All prices and information provided on our website, brochures, or invoices are accurate at the time of publication. However, changes may occur due to factors such as availability, currency fluctuations, government taxes, tour content adjustments, or service standards. Should any price adjustments arise before your deposit or final payment, we will inform you promptly. In the event of price increases beyond our control after receiving your deposit, the client is responsible for covering the difference. If such increases are unacceptable, cancellations are permitted; however, cancellation charges will apply.
Booking Confirmation
To confirm your booking, a completed booking form and a deposit of 30% of the total cost are required. Final payment must be made at least 60 days before departure. For bookings made less than 60 days before departure, full payment is required at the time of booking. All bookings are confirmed upon receipt of written confirmation from Trail Trek Africa.
Amendments and Transfers
Should you wish to amend your booking (including changes to dates), a written request must be submitted via email. A $50 USD amendment fee will apply, along with any additional costs incurred (e.g., accommodation changes) and cancellation fees, if applicable.
4. Cancellations and Refunds
Cancellations must be submitted in writing via email and will take effect from the date of receipt. Refunds will be processed minus applicable cancellation charges as follows:

More than 60 days before departure: Loss of deposit.

60 to 45 days before departure: 75% of the total fare.

Less than 45 days before departure: 100% of the total fare.
The absence of an invoice, payment, or deposit does not exempt clients from these cancellation policies.
Travel Insurance
Comprehensive travel insurance is strongly recommended. Insurance should cover trip cancellations, medical emergencies, baggage loss, personal liability, and other potential risks. Trail Trek Africa assumes no responsibility for losses or expenses incurred due to insufficient insurance coverage.
Itinerary Changes
While every effort is made to adhere to the planned itinerary, adjustments may occur due to factors such as weather, wildlife migration patterns, accommodation changes, or other unforeseen circumstances. Trail Trek Africa reserves the right to make such modifications in the best interests of the tour.
Flights
Trail Trek Africa is not a travel agency and does not book international flights. We can advise on flight options but assume no responsibility for changes, delays, or cancellations of flights. Domestic flights arranged through third-party charter operators are subject to their terms and conditions.
Delays
Trail Trek Africa cannot be held liable for delays caused by airlines, weather, or other unforeseen circumstances. Additional costs resulting from delays are the responsibility of the client.
Baggage Restrictions
On domestic flights, baggage is restricted to 15 kg per person in soft bags, including carry-ons and camera equipment. Excess baggage may require booking an additional seat at the client’s expense. For non-flight tours, we recommend limiting baggage to 20 kg per person. Secure baggage storage may be available at accommodations; please inquire at the time of booking.
Wildlife and Safety
Our tours may bring you into close proximity with wildlife. While attacks are rare, Trail Trek Africa cannot guarantee complete safety. Clients must follow the guidance of our staff and local accommodation providers at all times. Camps and lodges may not be fenced, and children must not be left unattended. Feeding wildlife is strictly prohibited.
Passports and Visas
Clients are responsible for ensuring their passports and visas are valid for all destinations on their itinerary. Trail Trek Africa is not liable for visa rejections, delays, or associated costs.
Health Requirements
Consult your healthcare provider or a travel clinic for advice on vaccinations and health precautions. Inform Trail Trek Africa of any medical conditions, allergies, or special requirements prior to travel.
Exclusions
Unless stated otherwise, the following are not included in our tour prices:

Travel insurance.

Beverages (excluding water at accommodations).

Personal laundry.

Gratuities to guides and staff.

Optional excursions.

International and domestic airfare.

Visas and departure taxes.

Resolving Issues
Should any issues arise during your trip, please address them with your guide immediately. If unresolved, complaints must be submitted in writing to Trail Trek Africa within 14 days of completing your tour.
Travel Advisories
We recommend reviewing government travel advisories from your home country. Trail Trek Africa is not liable for losses or additional costs arising from government warnings or advisories.
Liability and Responsibility
Trail Trek Africa acts as a tour operator and does not own accommodations, vehicles, or aircraft. All services provided are subject to the terms and conditions of our suppliers. Trail Trek Africa assumes no liability for injuries, delays, losses, or damages caused by suppliers, acts of nature, government actions, or other circumstances beyond our control.
Acceptance of Terms
By booking a tour with Trail Trek Africa, you acknowledge and accept these terms and conditions. This agreement is governed by the laws of the applicable jurisdiction where the booking is made.
